Every bulk order at Zees Commerce starts with a physical sample, so you can check fabric, fit, colour and print before anything goes into production. This page sets out exactly how samples are charged, made and shipped. Last updated 26 September 2026.

1. Sample fee

The sample fee is US $200 per design and is paid in full before sample production starts. It covers design set-up, pattern cutting, fabric, printing or embroidery, stitching and quality checks for one sample piece in one size. A design means one artwork and colourway; different logos, layouts or colourways are separate designs, each with its own sample fee. Additional sizes or extra pieces of the same design can be added and are quoted before you pay.

Digitising is free with your first order. We convert your logo or crest into an embroidery file at no charge, so it is ready for every run after that. Once you approve the digitised file it becomes the standard for your account. Reworking an approved design later, or digitising an entirely new crest, is quoted separately.

2. Production time

Samples take approximately 5 days to make, counted from the day we receive both the sample payment and your written approval of the artwork or mock-up. This is production time only; shipping time is additional (see section 4). Complex designs, special fabrics or trims we need to source may take longer, and we will tell you before we start.

3. Getting the $200 back: qualifying bulk orders

The full $200 sample fee is credited against your bulk order invoice when all three conditions are met:

  • The bulk order is for the same design as the approved sample (minor changes such as names, numbers or sizes are fine)
  • The bulk order is at least 50 pieces of that design
  • The bulk order is confirmed with its deposit within 30 days of the date you approve the sample

The credit is applied as a deduction on the bulk invoice. It is not paid out as cash, cannot be transferred to a different design or customer, and one sample fee can be credited once. Bulk orders under 50 pieces, or placed after 30 days, are welcome at the normal price but do not receive the credit.

4. Sample shipping

Shipping is not included in the sample fee. Samples are sent by express courier (DHL, FedEx or UPS), typically 3 to 6 days in transit to the US, UK, EU, Canada and Australia. The courier cost is quoted with your sample and paid together with the sample fee. Shipping costs are not credited against the bulk order. Any import duties or taxes on the sample at your destination are paid by the receiver.

5. Approving the sample

When the sample arrives, check it and confirm in writing (email or WhatsApp) that it is approved, or tell us what needs to change. Once approved, the sample becomes the reference for your bulk order and our quality control checks every bulk piece against it.

6. Changes and remakes

  • If the sample does not match the approved artwork or specification because of an error on our side, we remake it at no charge.
  • If you change the design after the sample is made (new artwork, colours, fabric or style), a new sample is charged at the standard sample fee.
  • Sample fees are non-refundable once production has started.

7. Skipping the sample

Repeat customers reordering an existing design, or buyers who accept a digital mock-up in writing, can go straight to bulk production. In that case the approved mock-up becomes the reference and no sample fee applies.
